About US:
Uganda Investment Authority (UIA) is a statutory agency which is mandated to promote, attract, facilitate, register, monitor and evaluate all forms of investments and business activities in Uganda as per the Investment Code Act, 2019. It is on the basis of this mandate that UIA initiates and supports measures that enhance investments in Uganda and advises Government of appropriate policies conducive for investment promotion and growth in the country.
Job Summary: The Project Administrator shall offer records management and administrative support services to the Project Management Team.
Key Duties and Responsibilities:
- Setup a records management system and shall be responsible for archiving and retrieving of all project records;
- Assist the Project Manager and UIA’s HR unit in the management of the project human resources as per UIA’s Human Resources Manual, 2015 which include among others leave management, facilitation of appraisals, preparation of the project staff payroll.
- Ensure that all project staff are facilitated with the required office tools to undertake their assignments and liaise with the EPC Contractor to maintain project equipment and assets;
- Provide secretarial support services to the project which shall include but not limited to scheduling appointments, preparation and achieving of all project meeting minutes among others;
- Maintain and manage the Project’s Asset Inventory Register;
- Shall be the Project’s Front Desk Officer and will be charged with visitor’s handling, office security, and attending to the mails / communications delivered at the front office.
- Supervise and develop support staff and ensure proper housekeeping and that vehicles are properly maintained.
- Any other duties that may be assigned.
Key Outputs
- A project records management system;

- Project’s Personnel records maintained;
- Project staff leave roasters properly managed;
- Accurate project staff appraisals are done timely;
- A credible project assets inventory maintained at all times;
- Front desk management;
- Office housekeeping;
- All project vehicles maintained;
- Monthly report on project records, human resources and office administration matters.
Qualifications, Skills and Experience:
- The Project Administrator shall possess an honors bachelors in records and archiving, office administration, Human Resources Management, Business administration, Bachelors of Management Science, Bachelors of Commerce or any other relevant/ equivalent bachelor’s degree.
- Three years of work experience in record & archiving systems, human resources management & office administration, financial management, assets management, payroll management, performance appraisal management as well as front desk and secretarial work in similar project settings.
- Ability to work with minimal supervision with strong organizational skills;
- Report writing and oral communication skills;
- Must be results-oriented, a team player, exhibiting high levels integrity;
- Demonstrate excellent interpersonal and professional skills;
- Attention to detail skills;
- Competencies with MS Office is a MUST.
