About US:

The AIDS Support Organization (TASO Uganda), is an organisation contributing to a process of preventing HIV infection, restoring hope and improving the quality of life of persons, families and communities affected by HIV infection and disease.

Job Summary:  The Procurement Assistant will process procurement requests, seek for quotations and prepare suppliers’ payments in line with the procurement and disposal policy.

Key Duties and Responsibilities:

  • Follow-up orders placed with suppliers to expedite the delivery of the required items or services
  • Maintain an up-to-date database on the existing and potential sources for procurement of the items and services required by TASO
  • Process valid procurement requests
  • Assist the user departments to assess the suitability of the goods and services procured and their conformity to specifications and standards
  • Check the specifications and terms of service for completeness and plausibility
  • Assist in the opening of tenders and evaluations
  • To source quotations from suppliers
  • Prepare suppliers’ payments
  • Prepare items for disposal and submit to the procurement committee
  • Weekly update of the LPO tracker.
  • Support timely review of vendor invoices, log sheets and reconciliations.
  • Assist in ensuring effective documentation and filling of documents, in line with the filling system in place.

Key Outputs

  • Sources of supplies, goods, and services identified
  • Orders placed, followed up, and Suppliers’ payments processed
  • Operational support and guidance to management and departments provided
  • Due diligence on Suppliers conducted
  • Procurement requests processed
  • Quotations from suppliers sourced and suitability of supplied goods established
  • Items for disposal prepared
  • LPO tracker is updated and timely submitted
  • Vendor LPO for all PRs is raised.
  • Procurement documents are properly filed according to the filing system in place.

Qualifications, Skills and Experience:

  • The applicant must hold a Bachelor’s degree in Procurement and Supply Chain Management.
  • Membership in the Institute of Procurement Professionals of Uganda (IPPU) is a must.
  • Professional qualification in CIPS will be an added advantage.
  • Three years of experience in the management of procurement activities in a fairly large organization, preferably donor-funded.
  • Knowledge of Laws, policies, and regulations governing procurement is a MUST
  • Specific reference to PPDA is critical; knowledge in making procurement plans and smooth procurement operations
  • Interpersonal skills

  • Negotiation skills
  • Computer skills
  • Other Qualities/Attributes: Courtesy, Patience, Accuracy, Integrity, Confidentiality, Team player and Ability to work under mental and physical stress, and Empathy, Respect, and Integrity.
