Job Summary: The Office Administrator will be responsible for the maintenance of an efficient office support function, including but not limited to the book keeping, procurement, mail, telephone and communication operations, transport services, travel arrangements and hotel accommodation for business visits. This position is responsible for the smooth and effective running of administrative requirements of all office operations.
Key Duties and Responsibilities:
- Manage all office service contracts i.e. courier and housekeeping services.
- Maintain and issue access to the Kampala premises within the strict guidelines of the security access procedure.
- Ensure timely delivery, proper storage & distribution of general services managed consumables and office supplies.
- Actively coordinate Company warehouse requirements, follow-up on inventory items and apply procedures for proper material storage.
- Receive maintenance requests for offices and expatriates’ housing.
- Work closely and interface between end users and general services team and ensure communication and periodic reporting.
- Manage the reception services and ensure the portrayal of a professional corporate image.
- Expeditiously follow up on insurance policies for company assets or long-term lease items (office equipment, furniture, etc)
- Ensure the availability and proper usage and accountability of general services petty cash.
- Manage office fabric; namely fittings and fixtures (e.g. power points, office painting, lights, etc).
- Launch purchase requisitions related to office activities.
- Maintain inventory listing of office and housing assets based on data provided by General Services team.
- Collect general services data related to general services activities i.e. drivers information, housing leases, etc.
- Perform any other duties that may be assigned by his hierarchy.
Qualifications, Skills and Experience:
- The ideal candidate should hold a Bachelor’s Degree in Office and Information Management, Human Resource, Business Administration, Procurement and Logistics and related field.
- Past exposure and experience in Office Management and dealing with suppliers.
- At least two to three years’ experience in the same field.
- Possess the ability to make quality work plans for daily activities.
- Technical skills to effectively perform administration activities / tasks in a manner that consistently achieves high quality standards.
