Job Title: Registry Officer
Civil Aviation Authority (CAA) is a corporate body responsible for the regulation of Civil Aviation in Uganda. It manages Entebbe International Airport and 13 other aerodromes upcountry. CAA carries out its work in conformity with International Civil Aviation Organization (ICAO) Standards and Recommended Practices (SARPS). The Authority now plans to recruit suitably qualified Ugandans of impeccable integrity and commitment to fill the following positions in its establishment.
Job Summary: The Registry Officer will be responsible for the provision of adequate, efficient and systematic maintenance of files and documents to ensure safe storage and easy retrieval when required by users

- Recommends effective and best practice Registry Management systems to ensure that CAA keeps up to date with current trends in Registry Management
- Ensures adequate manning and proper and efficient running of the Registry at all times to ensure safe storage of documents and easy retrieval by all users.
- Ensures that policies and procedures relating to the use and storage of documents is enforced so that CAA information is safeguarded
- Implements and reviews the system of issuing and returning documents
- Ensures that the Registry system functions to enable CAA officials perform their duties effectively.
- Ensures an orderly and systematic flow of official correspondence and/or documents in and out of the Registry to ensure that no documents are lost or misplaced
- Ensures safe custody of all files and documents and their availability, as and when required by the users.
- Ensures accurate and prompt receipt processing, routing and filing of documents and their availability to users at all times.
- Manages the processing and delivery of official correspondence to ensure confidentiality
- Supervises and oversees the receiving, sorting, routing and appropriate filing of all information, retrieving and dissemination to users.
- Compiles required periodic reports on time and makes appropriate recommendations for management attention
- Ensures safe custody and preservation of all records in the registry at all times.
- Ensures efficiency and accuracy in mail delivery system (internal and external) to ensure effectiveness of business operations.
- Inputs into the department’s manpower requirements
- Supervises staff to ensure that staff deliver results expected.
- Conducts and ensures adequate on the job training for Registry staff
Qualifications, Skills and Experience:
- The candidate should possess a good university degree of at least an honours class in Librarianship and Information Science (BLIS) or in Records and Archives Management with at least four years practical experience in a similar job
- Excellent interpersonal skills
- Possess the ability to work with minimum supervision
- The applicant should be highly innovative
- Competency in the use and management of Records Management Software
