Job Title: Office Manager
KSK Associates is a Professional Services Firm that provides Financial Consultancy Services including Assurance and Business Advisory Services, Business Planning, Feasibility studies & Project Proposal Preparation, Human Resource, Risk Management and Information System Solutions.
Key Duties and Responsibilities:
- Must be able to work with subcontractors and suppliers to ensure paperwork is in order including contracts, status checks, and insurance certificates;
- Keenly track and process invoices for subcontractors and material providers; review invoices and change order requests against contract documents; code invoices to expense categories;
- Maintain draw spreadsheets; prepare monthly draws to construction lender;
- Create and maintain a log to track material selections, upgrades and change orders;
- Enter expense data into Navision accounting software and compare actual vs. budgeted project costs;
- Set up new employees; collect and summarize timesheets; coordinate with payroll company;
- Organize and track warranty and product information for all purchases done;
- Assist with selection, research, bidding and ordering of construction materials;
- Assist with the preparation of bid packages, sending out RFP’s and evaluating subcontractor/ supplier bids;
- Prepare and update a phone/ contract list for subcontractors and material suppliers;
- Keep office stocked with office supplies (i.e. Paper, toner, furniture etc) post required items at the jobsite;
- Perform computer information back-ups;
- Perform periodical website updates to company website;
- Run occasional errands for office supplies, material pick-ups;
- Answer phones; copy, scan, email and file documents; greet and direct visitors, maintain professional appearance and cleanliness of the construction office; and
- Perform any other duties that may be allocated to you from time to time;
Qualifications, Skills and Experience:
- The applicant should preferably hold a Degree in Engineering or computer from a recognized University or relevant discipline;
- A minimum of two years construction office experience
- Prior Navision accounting software, any Ugandan local language and also being practicing Roman catholic is desirable;
- Comfort working at home office in Mbalwa- Namugongo/ and construction trailer on the job site at Ntungwa/ Mitaano bridge in Rukungiri/ Kanungu boarder/ Enget bridge in Lira.
- Strong organization and communication skills; detail- oriented and conscientious;
- Good typing skills; proficient in MS word and Excel; able to work swiftly and accurately through various projects;
- Should have a Driver’s License.
