Job Title: Accounts Assistant

Job Summary: The Accounts Assistant performs a variety of accounting duties and responsibilities related to the payment and receipt of money; computes, classifies, records, and reconciles transactions into the organization’s financial accounting systems. Checks transactions to locate and resolve discrepancies. Applies a working knowledge of applicable laws and regulations and policies governing the business.
Key Duties and Responsibilities:
- Accurately reconcile & generate customer & supplier statements from the accounting system.
- Accurately post customer and supplier payments in the financial accounting software i.e. payments from clients, payments to suppliers, advance recoveries and bounced salaries.
- Co-ordinate with the respective client partners to make collections from customers and send monthly customer and supplier account statements.
- Processing and submitting customer and supplier ageing reports to the respective teams every beginning of week.
- Accurately enter payroll payment vouchers into the financial accounting system immediately following authorization.
- Prepare invoices to clients by the 5th of every month and ensure timely delivery to clients.
- Processing the bank correspondence in regards to invoice discounting, following up un-cleared payments, un-identified credits etc.
- Bank reconciliations by every 5th of the subsequent month.
- Work closely with the payroll administrator to reconcile & remit the monthly NSSF, PAYE & WHT On payroll and supplier Invoices by the 10th of every month.
- Reconcile WHT on customer invoices versus received payments and follow up with clients to obtain withholding tax certificates.
- Updates the DCP.
- Assist with preparing working papers for audits.
- Acts as stand-in for Treasury Assistant in their absence.
- Assist with inquiries in the absence of the financial accountant.
- Record, classify, and summarize accounting transactions.
- Compile various documents, verify their accuracy, and authorize payments in accordance with established procedures.
- Keenly assemble documents for computer input, verifying accuracy of itemized charges, account numbers, and total costs.
- Assist with entering collections from debtors and payments to creditors.
- Periodically update all payroll accounts in Pastel Evolution.
- Select correct accounts; posts, verify, and balances debit and credit entries.
- Intuitively reconcile accounts and assist in the compilation of accurate financial reports.
- Apply a working knowledge of applicable laws and regulations; verify documents for completeness and compliance with government and private agencies.
- Maintain accounting records through filing, retrieval, retention, storage, compilation, coding, updating, and purging.
- Quickly respond to relevant inquiries. Check accounting transactions to locate and resolve discrepancies.
- Use various accounting applications, such as MS Excel and Pastel Evolution, assemble, manipulate and/or format data and/or reports.
- Perform any other duties assigned by the management team.
Qualifications, Skills and Experience:
- The ideal candidate must hold a Bachelor’s Degree in Accounting or Finance or related field.
- Highly proficient in Pastel Evolution or related accounting software package, plus experience in using Microsoft windows and office applications including word excel and power point.
- High degree of personal integrity is a MUST as this role involves handling cash and confidential company information.
- High levels of commitment, energy and flexibility.
- Excellent time management is key to this role as there are so many tasks to juggle and deadlines to meet.
- Individual has to be detail oriented as there are several spread sheets used in compiling and manipulation of data.
- Excellent oral and written communication skills

- Quick decision making
- Works well independently without waiting for direction.
