Makerere University Walter Reed Project (MUWRP) is a non-profit biomedical research Organization, whose mission is to mitigate disease threats through quality research, healthcare and disease surveillance. MUWRP was established in 2002 by a Memorandum of Agreement between The Henry M. Jackson Foundation for the Advancement of Military Medicine, Inc. (HJF) and Makerere University (Mak) to undertake medical research to test HIV vaccines. Over the years, MUWRP’s portfolio has progressively expanded to include vaccine research for Ebola and Marburg viruses, surveillance of influenza and influenza- like viruses and other emerging infections in humans and animals; also epidemiological, basic and implementation research in HIV treatment, care and prevention programs in the Districts of Kayunga, Mukono, Buvuma and Buikwe.

 

Job Summary: The candidate will serve as a Clinic Administrative Assistant at MUWRP for a Clinical trial at Mukono General Hospital.

 

Key Duties and Responsibilities:

Protocol related Activities:

  • Schedule appointment for Volunteers using the clinic calendar.
  • Ushers in volunteers and directs them to the relevant medical personnel.
  • Handles requisitions, reimbursements and accountability of volunteer’s stipend.
  • Escorts volunteers to their homes after vaccination
  • Timely receipt and tracking of laboratory results and follow up on any delays
  • Maintain and update participants’ data bases.
  • Handle clinic department related purchase and cash requisitions and accountability for Volunteers’ reimbursement

Logistics

  • Ensure that all supplies needed for protocol related activities are readily available for clinic activities.
  • Work with logistics team to ensure timely delivery of supplies to the clinic
  • Identify suppliers of goods required together with the logistics Officer and negotiate cost effective arrangements to deliver supplies.
  • Maintain, monitor and update inventory of clinic Assets
  • Make Requisitions for Clinic supplies

Office Administration

  • Ensure clinic staff adequately account for their time as per their assigned roles and responsibilities.
  • Participate in orientation of new clinic staff
  • Work with Administration to organize and coordinate clinic trainings and workshops.
  • Coordinate meeting arrangement, conference calls for the clinic team.
  • Prepare minutes and follow up on action itemsQualifications, Skills and Experience:
  • The ideal applicant must hold a Bachelor of Arts in Social Sciences or any humanities degree.
  • At least two years’ experience in front desk administration
  • Previous work in a research environment is added advantage
  • Highly organized, detail-oriented and self-motivated.
  • Ability to handle multiple tasks simultaneously.
  • Ability to maintain a high level of confidentiality.
  • Ability to work on own initiative.
  • Ability to professionally communicate in writing, verbally or other means deemed appropriate.
  • Good interpersonal/communication skills
  • Fluency in verbal and written English and Luganda
  • Supervisory Controls: The individual will serve under the immediate supervision of the Research Manager / Designee.
  • Physical ability: The ability to travel within the work site and field stations.
