Job Title: Finance and Administration Assistant

Job Summary: The Finance and Administration Assistant for the USAID AWF Project will offer administrative, logistical and financial support to its Tourism for Biodiversity Program in Uganda.
Key Duties and Responsibilities:
- Technically support the supervisor in daily, real-time entry of program payables accounting data in Serenic, ensuring monthly close deadlines are adhered to
- Follow-up on invoices with vendors for timely month close program payments
- Assist in preparation and maintain office petty cash and expense trail for timely monthly report generation
- Work in liaison with the supervisor to ensure staff receive the necessary support in planning field/business trips. This includes making flight and hotel reservations as well as process visa applications as required
- Inform the supervisor of upcoming large payments
- Guarantee that staff advances are provided timely and closed by staff upon return
- Ensure administrative, financial and logistical compliance to USAID rules and regulations
- Provide support in day-to-day front office management this includes making and receiving calls, sharing of messages to staff in a timely manner, facilitating courier services for out-going mail/parcels and ensure efficient tracking
- Provide back-up for team and follow-up on pending procurement tasks
- Provide back-up to Communications Officer on issues relating to arranging meetings within office premises
Qualifications, Skills and Experience:
- The most ideal candidate should hold Book keeping qualification, minimum CPA1, Office Administration (logistics and procurement)
- A minimum of two years’ relevant experience in a busy office
- Highly proficient in the use of computers, especially Microsoft Excel, Word and accounting databases
- Good understanding and knowledge of the government regulations (Income tax, VAT and duty requirements)
- Past exposure and experience working for USAID programs an added advantage
- Highly Self-driven with high attention to detail and ability to meet strict deadlines
- Possess the ability to manage multiple tasks and prioritization
- Excellent verbal and written communication skills
- Excellent organizational aptitude and coordinating ability
- Possess the ability to assess and react appropriately to changing circumstances
- Ability to work as part of a team in a multicultural environment
- Willingness to travel, sometimes to remote areas
