Job Title:  Finance /Administration Officer

Saferworld is an independent non-governmental organisation that works to prevent and reduce violent conflict and promote co-operative approaches to security. We work with governments, international organisations and civil society to encourage and support effective policies and practices through advocacy, research and policy development and through supporting the actions of others.

Since its establishment in 1989, Saferworld has made significant progress on a range of conflict prevention issues, including promoting conflict-sensitive approaches to development and security provision, controlling international arms transfers, promoting effective and accountable security and justice sector development, and supporting initiatives to tackle the spread and misuse of small arms and light weapons. Saferworld has developed its work both at the international level across these themes and in countries affected by conflict or insecurity. We have programmes in Africa, Europe and Asia. Saferworld has over 50 members of staff. In addition to our headquarters in London, we have staff based in Kenya, Uganda, Sudan, Sri Lanka, Nepal, Kosovo, Brussels and Vienna. Saferworld has worked in Africa since 1997, we have well-established programmes in Kenya, Uganda, Somalia and Sudan. In addition, Saferworld supports regional and international conflict prevention and security processes.

Job Summary: The Saferworld Finance and Administration Officer will ensure the smooth and efficient management of the financial and administration systems. The Finance and Administration Officer will support the Finance Manager and other team members in operating a strong financial control environment in the Saferworld Kampala office, including maintaining comprehensive and accurate financial records and other bookkeeping and banking tasks. The post-holder will also provide logistical and administrative support to the programme activities of the Saferworld Kampala office as required.

Key Duties and Responsibilities: 

  • Disburse payments, ensuring compliance with Saferworld and donor agencies rules and regulations.
  • Keep accurate and complete record of financial transactions in the computerised accounting system.
  • Update and maintain proper filing of vouchers and backup documents and safe storage of cheque books and banking documents.
  • Responsible for monthly bank reconciliation statements and to reconcile account balances.
  • Arrange deposits of salaries, taxes and other statutory related liabilities.
  • Procure goods and services, ensuring compliance with Saferworld’s and donor rules and regulations.
  • Maintain proper inventory records of goods and equipment owned by Saferworld and ensure that relevant control systems are in place and complied with.
  • Actively support/oversee logistic arrangements for project activities and travel
  • Follow up on receipts from electronic transfer payments
  • Prepare cash forecasts
  • Actively participate in the internal and external audit exercises
  • Perform any other tasks assigned by management.

Qualifications, Skills and Experience: 

  • The ideal candidate for the Saferworld job placement should hold a Bachelor’s Degree in business administration, or business studies or management with specialisation in finance or accounting.
  • A minimum of two or more years’ experience of working in finance, administration and/or procurement in a relevant field in NGOs or INGOs.
  • Sound knowledge of accounting procedures and principles.
  • Excellent skills of operating Microsoft word and excel spreadsheet.
  • Past exposure and experience of using accounting software specially, QuickBooks,
  • Significant experience of working on USAID-funded projects is an advantage
  • Fluency in English (written and spoken)
  • Possess positive problem-solving approach
  • Excellent interpersonal and team-working skills
  • A willingness to promote the work of Saferworld and develop collaborative work with others
  • A commitment to working in a non-partisan manner
